Vision33 iDocuments Release Notes (Public Cloud Edition)

Overview

This document outlines the updates and work completed that have been inputted into iDocuments during the most recent Vision33 Public Cloud release. These changes are categorized by the following and are explained in detail in the subsequent sections.

OCR Processing

OCR GRN documents – If a mailbox process is set to Goods Receipt Note, the OCR will be used to determine the main details and then will create the receipt as a draft with the receipt note attached. 

  

The Document type also added to the Intelligent archive as it has captured all the data (66130)

 

OCR Processing

All uploaded attachments now processed via OCR via overnight task so they can also be included in the Intelligent archive (66970)

Purchasing

Edit Goods Receipt

Added the ability to reselect the PO(s) required for a goods receipt when editing the document.  Although typically just copied from PO, it can now be updated when GRN is created through OCR (66818)

 

Edit Purchase Order

Mandatory PO attachments by Group, with Value prompts (66840) as current setting only allows for all POs to have a mandatory attachment.  Now using 3 new company settings, ‘Groups With Mandatory Attachment on PO’ to list the groups included, ‘Mandatory PO Attachments’, to list the three financial regulation values for hardcoded text prompts.  ‘Mandatory PO Attachments Text’ to display company specific texts.  The below prompt is then shown on submission, with the radio button text hardcoded, but not stored.

Reset split button added.  Note this is only for use immediately after making a split to revert the change back and will only affect the last line added (65844)

Application Configuration

Rejection Roles list to allow rejection of failed docs by Role (65747) Note: #Beta changes only e.g., list refresh after action does not remove rejected so may be altered with a later upgrade.

 

Application Configuration

System Admin function to disable a company and prevent processing whilst still allowing read only user access (67002)

 

Various

Branch functionality to allow entry of branches per user set-up, so that documents can be assigned a mandatory branch reference as with SAP (49502) triggered by company setting ‘Can Use Branches’.  Note: this does not include any user document restrictions, just that branches can be added.  Note: #Beta changes only as if enabled when existing documents have no branch, then these would need rejecting or re-entering.  Also, SAP to iDocuments not yet confirmed.

System setting 'Show free text' moved to company setting to allow hiding of the free text field in marketing documents.  Note: this is separate to the ‘Display Free Text on PO’ setting (53063)

 

Configuration Reports

‘System users’ configuration report now includes TFA (Two-Factor Authentication) enabled flag (66170) *redeployed update to report as not all users saw the change

 

Upload Pages

File type not allowed error, so added file format expectation of *.xlsx (66667)

 

Mobile Bindings

Mobile devices page will now show both the new app (if installed) and the current one (labelled as "Legacy" once the new version is deployed) to allow both to be used in parallel (67359)

 

Various

Removed option for ‘all’ in paging options so 200 entries is now the maximum setting (Note: any users which are saved as all would need to reselect and re-save) (67034)

 

Approval Options

Can Send PI to PO Creator now available in Company settings to force PO originator to approve every PI (67104)

 

Listing pages

Listing pages updates to make more consistent e.g., supplier code in each (67105).  Note: Refresh Layout option is needed to allow new fields to appear.

 

Approval Options

‘Use Legal Approval’ setting for allowing a specific role to always approve Purchase Orders before Finance Approval based on ‘Legal Approval Limit’ moved from system to company setting (67298).  Note: #Beta changes as role performs differently to standard roles
