Lumiya Chats

User Guide

 

Introduction

This document provides an overview of the Lumiya Chats functionality.  Allowing an online chat function to enhance the Purchase Invoice processing within Lumiya.

 

With the chat functionality, the users can discuss within the system any missing or additional information that is not necessarily held in the document details but is required for efficient processing. 

 

Overview

Company Settings

A company setting (ChatsEnabled) is available to enable chats on the homepage and for button functions in Rapid Invoice Entry.

Notifications

Any chats for the current user will appear in the top right notification area.

 

 

Selecting the notifications icon will pop up the details of unread chats and will allow a reply to the chat – by entering text and clicking on reply.

 

 

Marking all as read will remove the notification, and using the Open option will allow the chat history to be displayed. 

 

New comments and collaborators can be added here.

 

 

Similarly, there is an option to refresh if having an immediate conversation, mark as read to remove the notification, and an option to Stop collaborating to remove it from the message chain.

 

Adding a new chat

When viewing a transaction, if there is a chat currently, then upon opening, a pop-up will remind the user that there is a chat, plus on the Chats button it will show the number of chats in brackets. 

 

To review, press the chat button, and it will appear as per the homepage above.

 

 

To add a new chat, press the Chats button.

 

Selecting ‘+ New’ will pop up the option to enter the chat details and which users to be included in the chat.

 

 

Once all the details are entered, it can be saved.

 

Once saved, the details are then shown and how they will appear to the users that were added.

 

 

There is then also an option to mark the chat as closed when completed.

 

Share document

Whilst internal users can chat and see the documents as required, non-Lumiya users will need to be sent any image via email.

 

To allow this, a new Share button was added to the purchase invoice screen, which now facilitates the process when chats are enabled and shows how many times it has been shared.
